Admin Assistant - Full Time

Our company is seeking an Administrative Assistant to assist with tasks in the office, assist staff and handle duties as outlined from management. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task and attention to detail is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organised. Assuring a steady completion of workload in a timely manner is key to success in this position.

Operations/Customer Success Manager (UK) - Full Time (Maternity Cover)

The only UK based tour operator to operate and manage its own Red Sea and Maldives liveaboard fleet, we require an Operations/Customer Success Manager (Maternity Cover) to work within our friendly team. The Operations/Customer Success Manager will carry out a range of activities inclusive of (but not limited to):

Customer Success / Operations
- Oversee and continually review all operational procedures which support the customer journey during and post sales
- Flight purchasing: Book and allocate flights to bookings, submit flight manifests and API details to airlines, agents and other parties where necessary; flight changes and reschedules including rebooking flights as and when necessary for better fares; maximise margins through researching and booking the best fares available; manage and execute ticketing deadlines on time; managing flight allocations
- Operations manual: Review and refine regularly ensuring relevant sections and updates are rolled out to relevant teams; define and provide a rolling programme of training
- Customer complaints: manage the complaints procedure so it is efficient and effective; make and recommend outcomes from complaints
- ATOL: Calculate and submit the company quarterly ATOL returns to the Civil Aviation Authority
- Work with the Sales Manager to define and review non-negotiables and efficiencies within the sales process

Regional Destination Manager (Egypt & Maldives) - Full Time

Based in Egypt - Competitive Salary

The Regional Destination Manager (RDM) is responsible for the overall management of a defined set of destinations where the company operates owned vessels or vessels in a Joint Venture. The Regional Destination Manager manages and provides leadership to The Destination Managers (DM) within his/her portfolio of destinations. The Regional Destination Manager is based in Egypt and will be responsible for 4 vessels in Egypt and two vessels in the Maldives and reports to the Managing Director Destination Management (MDDM).

The Regional Destination Manager will carry out activities inclusive of (but not limited to):

Overall running of the operations:

- Coordinate with the Destination Managers regarding the key aspects of the day to day operations in his/her destination portfolio - including holding meetings via communication channels with DM's with an agenda and action points documented promptly;
- Follow up on customer satisfaction and provide leadership and problem solving if Customers Satisfaction ratings drops below agreed levels. Authorise compensation at agreed specific sums in case of justified complaint;
- Support the DM with problem-solving solutions to any problems occurring and crisis management;
- Ensure timely monthly reporting by gathering reports from defined destinations, analyse them and report to the MDDM;
- Approve purchases for major work in a timely fashion and line with delegation levels. Request the use of the Central Maintenance team and of specialist contractors as and when required if repairs or maintenance can't be executed locally;
- Approve maintenance schedules with the DM for defined destination and work together with the Maintenance Manager towards improvement and synergies;
- Guide and oversee the implementation of the company Ships Management System required on all company vessels;
- Approving holidays for DM and assure cover if necessary so that running of the operations is not disrupted and move employees to different destinations where necessary and possible in emergencies or holidays.

Cost control and analysis:

- Manage costs by following up on running cost the destinations within his/her portfolio and discuss and find solutions with the DM if the cost goes out of the budget. This includes management of stock balances and working with destination management to move stock around as required;
- Identify and implement cost savings measures to lower operational costs, increase efficiency and OBS (onboard sales) wherever possible;
- Review budgets developed by the DM and report to MDDM for approval;
- Monthly meetings with the MDDM to analyse and discuss actual operational cost compared to budget and suggest improvement;
- Responsible for achieving OBS revenue targets and margins. Follow up on monthly stock checks;
- Responsible for the brand implementation and ensure in cooperation with the Destination Planning and Development Department that cross marketing is executed on all vessels as implemented by the marketing department and the MDDM;

HR:

- Ensure Employees have bought into the policies of the brand implementation (engagement);
- Ensure staff training schedules are followed.
- Support and coach the DM;
- Support DM to find the right staff for any position in the destinations within his/her portfolio;
- Execute two times per year Employee Performance Reviews for DM.

KPIs

1. Customer satisfaction is at the agreed level in all defined destinations including the management of customer complaints in an efficient way to avoid escalation
2. Employee engagement - Ensuring that staff including DM are supported and therefore they identify them with the company and the staff turnover is managed to ideally 10-15%
3. Budget for all destination within his/her portfolio is established promptly
4. Brand implementation is visible on all vessels and cross marketing is up to date
5. Cost management - Operational cost are within or below set budget for all defined destinations
6. A stock value between all designated destination is not excessive, and there is a minimum "past due date" stock
7. Employees were rotated around between destinations wherever possible to reduce cost of additional staff
8. Monthly reports regarding destination performance produced promptly
9. Reporting cycle is in place for maintenance, customer satisfaction, employees H&S and fire training. All reports are available anytime for all defined destinations, and they are analysed and compared to destinations. Best practice is in place
10. Performance reviews for employees are completed promptly
11. On board sales targets (as per budget) and margins are achieved or exceeded

Skills, competencies and experience

Only candidates with the following skills/competencies/experiences will be considered:
- Experience in working on liveaboard
- 5 years experience in a management position in Egypt

Red Sea Diving Work Experience Programme:

The blue o two red Sea Diving Work Experience Programme has been designed to give the opportunity to keen divers to get a chance to come to the Red Sea and dive onboard a blue o two liveaboard, while getting work experience in the scuba industry.

Positions will be offered to motivated and reliable candidates each month and the programme has a 3 month duration. blue o two is looking for responsible, eager to dive, punctual and customer-orientated individuals who want to dive in the Red Sea every day and learn what the scuba industry is about.

Please contact us to check available dates for this programme. Unfortunately, all of our internship places for 2017 have now been confirmed. We are now only considering applications for 2018 onwards.

You will need to arrive a few days before the start date to settle down, get to know the team and receive your first guidance information. Upon arrival, you will be provided with a fully-furnished apartment in Hurghada, to be used as on-land accommodation to store your belongings and relax in on your week off. Once on the boat, you will have all your meals provided. Some of our vessels have dive guide accommodation, but on some weeks when the boat is full, you may have to sleep on deck. You will receive Euro 50 back from your deposit for every week you stay and once your skills are satisfactory, you will be entitled to a portion of the tips.

During your experience, you will:
- Improve your diving skills
- Learn more about the Red Sea diving

PADI Divemaster Internship:

We are pleased to be teaming up with dive centre Voodoo Divers in Hurghada to provide a joint program of the PADI Divemaster Internship.

Designed to help you take the first step to being a diving professional, this new and unique programme gives you the opportunity to learn the ropes whilst benefiting from experience at a high quality shore based daily diving centre in combination with work experience on our award-winning Red Sea liveaboard fleet.

We hope the applicants will approach this as they would any life changing opportunity. We want you to learn in a supportive, friendly and professional environment to give you the best possible experience and springboard you in to your diving career and in return we would like to see you quickly become a useful part of a working team.

We run our joint Internship programme over 12 consecutive weeks. You will complete the PADI Divemaster course over 4-5 weeks to ensure you've had a really thorough exposure to courses and as many guiding experiences as possible.

Internship schedule:

Weeks 1 - 4: PADI Divemaster course and experience of working at a daily dive centre at Voodoo Divers
Week 5:Divemaster course debrief, handover and preparation for liveaboard experience
Weeks 6 - 10: Liveaboard experience at blue o two
Weeks 11 - 12: Option to continue with blue o two or return to Voodoo Divers (performance depending)

(all timings are approximate and may vary according to your progress through the Divemaster programme).

What will a normal day look like for me?

At blue o two:
Boats sail on a Saturday morning and return to the marina mid-afternoon the following Thursday. During a week on board a liveaboard the intern will initially watch the work carried out by our dive guides - initial pre-safari boat and equipment checks, managing dive schedules for the day (3-4 dives depending upon location), pre-dive briefings, kit and equipment issues, all aspects of guest relations, on board merchandise sales, meal timings, crew liaison, closure of guests accounts at the end of the week and communication with land based ground support staff..

At Voodoo Divers:
This depends on whether you are assisting with a course, assisting with guiding guests or actually learning yourself. There will always be an interesting mix of things to observe then put in to practice yourself, as well as learning the theory (that is an essential part of your course). We typically do two dives per day and the boat stays out all day. There will be a third dive and a night dive at least once a week. Working days for Voodoo Divers are typically 8am - 6pm in high season so be prepared to commit yourself to hard work, but also know there is a cold beer waiting at the end of the day and lots of diving stories at the on-site bar most nights (with a guest BBQ on a Wednesday for good measure).

Guiding - both daily and on safari:
You will be expected to gain general familiarization of dive sites that you have visited so that later in the placement, you can reliably guide certified divers on sites you are familiar with, and in some circumstances, carry out pre-dive briefings for a dive.

The price for all of this is merely £1,650* for the entire 12 weeks. For this price you will receive your PADI Dive Master course, a shared apartment within walking distance of Voodoo Divers and the blue o two office, an allowance of €50 per week, food on board the liveaboard vessels and Voodoo's Red Sea Star vessel and entry visas.
